Main Responsibility
About the Role
We are looking for a highly organised and proactive Central Operations Co-ordinator to join our team. This pivotal role provides comprehensive administrative and coordination support to the Central Operations Manager and the wider function, ensuring smooth, efficient, and organised operations across the business.
You will play a key role in managing the NHS End of Month processes, liaising with suppliers, leading on budget queries, tracking and monitoring invoices, and supporting the Retail Support Team with central requests. Additionally, you will assist in coordinating the pharmacy activity plan, ensuring workloads are effectively managed and supporting cross-functional collaboration to deliver consistent results across our “Top 10” campaigns and initiatives.
Key Responsibilities
Take ownership of the NHS End of Month process, ensuring accurate claims submission and minimising the risk of underpayment.
Resolve courier (DPD) collection and delivery queries efficiently.
Coordinate the pharmacy activity plan, supporting workload organisation and cross-functional collaboration.
Raise purchase orders, monitor approval workflows, and ensure timely invoice processing.
Assist in tracking and managing a Central Operations budget of circa £800k, maintaining accurate records and reporting.
Act as a point of contact for suppliers (including uniform and stationery providers) and the Retail Support Team to resolve service issues and support supplier performance monitoring.
Maintain and update all pharmacy trading details (Core and Supplementary), ensuring compliance with contractual processes.
Provide support for wider Central Operations co-ordination as required and assist the Central Operations Manager with additional workload as needed.
Skills & Experience
Previous experience in pharmacy operations is desirable.
Strong attention to detail, ensuring accuracy in administrative tasks, data handling, and reporting.
Excellent problem-solving and critical-thinking skills.
Ability to manage multiple tasks and priorities across various initiatives and platforms simultaneously.
Confident liaising with internal teams and external suppliers to ensure smooth workflows.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), intranet platforms, and basic budgeting/finance software.
Resilient, collaborative, and able to maintain focus when faced with unexpected challenges or operational changes.
