Facilities Co-Ordinator

Overview of the role

To support the delivery of the FM, Compliance, and Investment services at a regional level across Well Pharmacy & Bestway Retail estate to ensure all trading units can operate and trade in safe and legal environment. To ensure that all works are delivered to budget plus delivered to the expected timescales, standards and operate within the business policies and procedures. First point of contact for all facilities queries with the help desk and across the business. 

Main Responsibility

  • Responsible for managing all queries and issues raised by the internal help desk team through to completion or escalation to line manager.
  • Responsible for ensuring the contactors and help desk teams always maintain the system.
  • Support the facilities team to make sure the budget trackers are maintained all times.
  • Responsible for raising purchase orders in line with internal policy and procedures.
  • Responsible for requesting quotes and checking details before submitting requests to line manager for approval.
  • Responsible for checking and collating monthly batches / invoices ready for line manager to check and approve.
  • First point of contact for escalations and issues impacting on the branch not trading.
  • Responsible for providing support to the Facilities Managers in attending contractors review and performance meetings. 
  • Support the Facilities Managers and retail support team in resolving landlord issues in collaboration with the property team.
  • Supporting the Facilities & Compliance Manager with H&S, FRA and Equality issues
  • Responsible for collating and analysing reactive call data to help manage service and cost.
  • Responsible for capturing all relevant documentation for each incident requested from line manager in accordance with the business insurance policies and procedures.

Key knowledge and skills required for the role:

  • Experience of working in a Facilities environment.
  • Organisational and Communication Skills.
  • IOSH Managing health & Safety Certification
  • Asbestos Awareness Certification
  • Good working knowledge of Microsoft applications.
  • Financial and budget awareness.
