Overview of the role
The key purpose of a Goods-In Supervisor within parallel imports is to oversee the efficient and compliant receipt of pharmaceutical products, ensuring all incoming goods meet regulatory standards and company requirements. They coordinate with suppliers, manage documentation, and resolve any discrepancies or issues to maintain a smooth supply chain and support timely product availability.

Monday - 07:00 – 15:45
Tuesday – 07:00 – 15:45
Wednesday - 07:00 – 15:45
Thursday - 07:00 – 15:45
Friday - 07:00 – 14:30
Main Responsibility
1. Oversee Goods Receipt Operations:
• Supervise the end-to-end process of receiving parallel imported pharmaceutical goods, ensuring products are accurately received, inspected, and logged into the inventory system.
• Verify the quantity, quality, and condition of goods against shipping documents, purchase orders, and relevant regulatory requirements.
• Ensure proper documentation (such as invoices, delivery notes, and customs papers) is complete, accurate, and filed for traceability and compliance purposes.
2. Compliance and Regulatory Checks:
• Ensure all parallel imported goods meet pharmaceutical industry standards and regulations, including customs, import/export compliance, and safety requirements.
• Stay updated on applicable local and international regulations related to pharmaceutical goods, including parallel importation laws, and ensure all procedures are adhered to.
• Monitor the accuracy of labelling and packaging to ensure they comply with regulations and quality standards.
3. Inventory Control and Stock Management:
• Ensure the accurate placement of goods in the warehouse according to storage guidelines to preserve product integrity.
• Collaborate with inventory teams to track goods received, monitor stock levels, and assist in inventory audits to maintain accuracy.
• Ensure stock records are updated accurately in the system upon receipt, including handling any discrepancies or damages reported.
4. Manage and Lead Team:
• Supervise and direct the team involved in the goods receipt process, ensuring clear expectations and efficient workflow.
• Provide coaching, training, and development opportunities for the team to ensure high levels of performance and compliance.
• Conduct regular performance evaluations, set measurable objectives, and provide constructive feedback to team members.
5. Performance and Conduct Management:
• Set clear goals for the team and monitor performance regularly to ensure operational efficiency and adherence to timelines.
• Address performance issues, misconduct, or safety concerns promptly and professionally, taking corrective action when necessary.
• Foster a culture of accountability, teamwork, and continuous improvement within the goods receipt department.
Additional Roles and Responsibilities (Learning and Expanding Operational Knowledge):
6. Cross-Training and Operational Support:
• Learn and become proficient in other aspects of the pharmaceutical operation, such as distribution, stock management, manufacturing, and order fulfilment.
• Assist in other operational areas as needed to ensure smooth workflow and continuity of operations, particularly during high-demand periods or team absences.
• Work closely with other departments (e.g., logistics, quality control, procurement) to gain broader operational knowledge and understanding.
7. Process Improvement:
• Identify opportunities for improving the goods receipt process, enhancing efficiency, accuracy, and overall performance.
• Collaborate with relevant departments to implement process improvements, ensure continuous development, and achieve operational targets.
• Suggest and implement improvements to reduce errors, minimize delays, and improve overall productivity.
8. Health and Safety Compliance:
• Ensure the safety of goods receipt operations by adhering to industry-specific health and safety standards and guidelines.
• Conduct regular safety audits, address any safety concerns, and maintain a safe working environment for the team.
• Ensure compliance with relevant warehouse handling practices, particularly regarding temperature-sensitive or hazardous pharmaceutical products.
9. Reporting and Documentation:
• Maintain accurate records of all goods received, including discrepancies, damage reports, and regulatory compliance documentation.
• Generate and present regular reports on goods receipt activities, including inventory status, discrepancies, and any operational challenges.
• Provide support in the preparation of reports for audits and regulatory inspections.
Personal and Professional Development:
10. Continuous Learning and Development:
• Engage in training and development opportunities to expand knowledge of pharmaceutical logistics, supply chain operations, and regulatory requirements.
• Stay informed of industry trends and developments to ensure the goods receipt process aligns with best practices and regulatory changes.
Key knowledge and skills required for the role:
• 2 years experience in a similar role within the Pharmaceutical industry
• Experience within Team leader/Supervisory/Managerial role
• Exposure to Microsoft Windows, Excel, Word. Working with Warehouse Management Systems.
